Migration

Migrate from Buildium to Ayillo

Buildium exports the same core records. Ayillo's import maps them to properties, units, leases, and residents.

The short answer

Export the source data, choose the exact Ayillo workspace and property scope, map and preview every row, reconcile the cutover balances, and only then commit. Ayillo's Migration Center is designed to surface problems before they become live records; it does not need to modify Buildium.

What imports

  • Properties and units
  • Leases and residents
  • Ledger balances
  • Open work orders

How to prepare

  • Cutover date declared.
  • Export from Buildium.
  • Clean CSV.
  • Assign owners in Ayillo before ledger import.

Safe cutover sequence

Keep an untouched export from Buildium. In Ayillo, select the destination workspace and property scope explicitly, load the files, review the mapped rows and resolve any missing or ambiguous fields. Reconcile residents, leases and balances against one cutover date before committing. After the import, compare record counts and spot-check the highest-risk records before your team treats Ayillo as the system of record.

What to verify after import

Check property and unit counts, resident identity and contact details, lease status and dates, outstanding balances, open maintenance work, and staff access. Imported data should match the source export and the chosen cutover date. If a tracked import has later operational activity, Ayillo's rollback path fails closed rather than deleting records that may now be connected to real work.

Self-service or concierge

You can run the Migration Center yourself and keep full control of the mapping and preview. If you want help, Ayillo can provide concierge guidance for the Buildium export, field mapping and cutover review. The assistance is optional; the self-service path remains available.

Known limits

Complex owner-distribution history may require summarization.

FAQ

Frequently asked

How long does migration take?

There is no fixed migration time because row volume and source-data quality vary. The important gate is reconciliation: preview the import, resolve exceptions, and do not commit until the destination records and cutover balances are correct.

Can I run both systems in parallel?

Yes. Exporting and previewing data in Ayillo does not require shutting down the old system. Pick a clear cutover point so the same charges, payments, leases, or maintenance activity are not entered independently in both systems after that point.

Can an import be rolled back?

Tracked imports have a guarded rollback path. Ayillo refuses destructive rollback when imported records have later activity or when the import predates the required rollback audit metadata, so connected operational history is not silently deleted.
